# Rota

> View shifts, accept assignments, request swaps, and set availability.

The rota in Campsite gives everyone, from individual staff members to managers overseeing departments, a single view of who is working when. Your schedule lives in one place and updates in real time. Notifications keep you informed when shifts need a response or when something changes.

## Navigating to the rota

Open the rota by clicking **Rota** in the main sidebar, or navigate to `/rota`. Your default view is **My schedule**, scoped to your own shifts and open slots you can claim.

The page has two sections:

Managers also use **Build rota** on the Schedule tab to create rotas, manage roster access, and publish draft rotas.

## Rota views

## Accepting or declining a shift

When a manager assigns you to a shift on a published rota, the shift appears as **Awaiting your response** until you act:

1. Open **Schedule** (list view is easiest for actions).
2. Choose **Accept** to confirm the shift, or **Decline** to notify your manager.
3. If you cannot work the shift, use **Request swap** to open the Requests tab with that shift selected.

Open slots work differently: any eligible member can **Claim** the slot, which confirms the assignment immediately.

  Do not treat a pending swap or unassign request as a confirmed change. Continue covering your
  original shift until the request is approved.

## Contract hours hard stop

If a staff member’s employment contract caps weekly hours, managers cannot assign additional rota time that would breach the remaining allowance for that Monday-start week unless they record an override with a reason. The same hard stop applies when editing an existing assignment. When you pick an assignee and shift times, the editor shows how many hours remain that week before you save. Overrides are visible later to Finance on wagesheets and timesheet review.

## Swaps and unassign requests

To swap with a colleague or ask to be removed from a shift:

1. Open **Requests & swaps**.
2. For a swap, pick **your shift** and **their shift**, then submit. Your colleague must accept the swap before a manager gives final approval.
3. For unassign, pick your shift, add an optional note, and submit. A manager approves the change.

You receive notifications when a peer responds and when a manager approves or rejects the request.

## Setting your availability

If your role has the **Submit rota availability** permission (granted under **Admin → Roles**), you can open **My availability** from the Schedule tab. Set a recurring weekly pattern and optional date overrides. Managers see availability hints when assigning shifts.

The mobile app supports the same weekly availability pattern for permitted roles.

## Shift reminders

Campsite sends a reminder before each confirmed upcoming shift. Set reminder timing and open-slot alerts under **Settings** on your profile.

## Google Sheets import

Org admins can bulk-import rota data from Google Sheets. Imported shifts behave like manually created shifts, including notifications and lifecycle states after publish.

## Calendar sync for your shifts
