Every person in your Campsite workspace has a role, and that role determines which features they can see and use. Roles follow a ladder from Super Admin — who can configure the entire organisation — down to staff members who access only their own schedules, broadcasts, and resources. Understanding where you sit on that ladder helps you know what you can do and where to go when you need something done by someone with broader access.
Your role is assigned by your Super Admin. You cannot change your own role or grant yourself additional permissions. If you believe your role is incorrect, contact your Super Admin or HR team.

The role ladder

The table below summarises each role, its position in the hierarchy, and the key areas it can access. Roles are ordered from highest to lowest authority.

How permissions gate navigation

Campsite’s sidebar and feature areas are dynamically filtered based on your role. If you cannot see a menu item — such as Finance, Hiring, or Admin — it means your current role does not include access to that area. This is by design: you only see the tools that are relevant to your responsibilities. Permission-gated navigation groups include:
  • Member — available to all roles (broadcasts, rota, calendar, resources).
  • Manager — visible to Managers, Senior Managers, and Super Admins (team rota, member approval, department broadcasts).
  • HR — visible to HR-enabled roles (employee records, org chart, hiring, onboarding, performance, 1:1s).
  • Finance — visible to Finance-enabled roles (payroll, wagesheets, bank details management).
  • Admin — visible to Super Admins (members, roles, departments, branding, integrations, settings).
  • Compliance — visible to compliance-enabled roles (gov monitor, privacy centre, audit trail).
If you need access to a section that is currently hidden from your navigation, speak to your Super Admin. They can either adjust your role or create a custom role that includes the specific permissions you need.

Custom roles

Super Admins can create custom roles that go beyond the standard role ladder. Custom roles are built by selecting individual permissions from a list — covering areas such as member management, broadcast sending, recruitment, rota editing, and more — and combining them into a role tailored to a specific job function. This means that if your organisation needs a role that sits between, for example, Coordinator and Manager — or one that can access hiring but not HR records — your Super Admin can configure exactly that.
If you are a Super Admin setting up custom roles, navigate to Admin → Roles to create and manage role definitions. Choose the permissions that apply to the role, then assign the custom role to members from Admin → Members.

Departments, societies, and clubs

Your role always operates within the context of one or more departments. Staff can belong to multiple departments, and your broadcast subscriptions, rota visibility, and HR records are all linked to those department memberships. Societies and clubs are modelled as a special type of department. A Society or Club Leader can broadcast to their group’s members, but their access does not extend to standard operational departments unless they hold an additional role that grants it.
Removing a member from a department immediately affects which broadcasts they receive and which rota views they can access. Before changing department membership, confirm with the relevant Manager or HR contact that the change is intentional.
