Leave requests cover planned time off. Absence reporting covers unplanned sickness or other unexpected absence that managers and HR need to record for operational and compliance purposes.

Reporting an absence

Staff report absence from the leave and absence area when they cannot attend a scheduled shift or working day. Typical steps:
  1. Open Calendar → Leave or the absence entry point your org uses.
  2. Choose Report absence (wording may vary by role).
  3. Enter dates, reason category, and any notes your organisation requires.
  4. Submit for manager or HR visibility.
Your manager receives a notification and can acknowledge or follow up according to org process.

Manager and HR review

Managers and HR users with the right permissions see absence records alongside leave balances and rota coverage. Use these views to:
  • Confirm cover for affected shifts
  • Track repeat patterns within a team
  • Export or report data for wellbeing or HR conversations

Trend analysis

Where enabled, Campsite surfaces trend-style summaries (sometimes referred to internally as Bradford-style analysis) to highlight recurring absence patterns without replacing formal HR process. Trends are indicative: always confirm context with the employee and your organisation’s policy before taking action.

Relationship to leave

Planned leave goes through the leave request and approval flow. Absence reporting is for events that were not planned in advance. Do not duplicate the same dates in both flows. See leave requests for planned leave requests and balances.
