Member management lives under Admin → All members at /admin/users. Use this area for Campsite access: invites, roles, permission overrides, and activate / deactivate. Line manager and department membership are edited on the employee HR record.

Inviting members

  1. Open Admin → All members → Invite.
  2. Enter the person’s name and email.
  3. Assign a role and optional departments (initial placement).
  4. Send the invitation.
Invitees receive a branded email with a secure link to set their password and complete account setup. Until they finish setup, they may appear as pending in member lists.

Member list and filters

The members table shows active, pending, and suspended users. Filter by department or role to audit access before a term or season change.

Member preview

Select a row to open a preview panel beside the list. It gathers what you usually need before making a decision:
  • Organisation: departments, line manager, direct reports, join date, last activity, and whether the member has permission overrides
  • Employment: job title, contract type, working pattern, work location, start date, length of service, probation, notice period, and payroll reference
  • Records and compliance: HR record completeness, right to work, document and training counts (including anything expired or due for renewal), annual leave entitlement, and TOIL balance
Employment and compliance detail only appears for people with HR record access. Everyone with member access still sees role, status, departments, and the organisation detail. Shortcut links at the bottom of the panel open the matching tab of the employee file.

Editing access

From a member row you can:
  • Change role and permission overrides
  • Suspend or reactivate access
  • Resend invitation email
  • Open the employee HR record to set line manager and departments
Removing someone from a department immediately affects broadcast subscriptions and rota visibility for that department. Confirm with the relevant manager before bulk changes.

Pending member approval

If your organisation requires approval for new registrations, new members appear in pending approval queues until a reviewer activates them.

Tips

  • Assign the least privilege role that matches each person’s job.
  • Use custom roles when a standard role is too broad or too narrow.
  • Review members at term start alongside departments and roles configuration.
