Leave administration is under Admin → Leave settings (or the HR admin leave configuration route for your org).

Leave types and entitlements

Define which leave types staff can request (annual leave, TOIL, study leave, etc.) and default entitlements per role or contract type where supported. Common configuration tasks:
  • Set annual entitlement amounts and pro-rata rules
  • Enable or disable leave types per department
  • Configure approval chains (manager vs HR final sign-off)

Holiday periods and blackouts

Mark organisation holiday periods and optional blackout windows when leave requests need extra scrutiny (for example exam weeks or freshers).

Carry-over, encashment, and TOIL

Where enabled, configure:
  • Carry-over limits between leave years
  • Encashment rules for unused leave
  • TOIL accrual from approved overtime or extra shifts
  • Minutes per full working day (TOIL) for converting logged overtime into TOIL days (default 480 minutes = 8 hours)
Staff see balances in the leave workspace. Incorrect entitlements here flow through to every leave request.

Who can see team leave

Grant leave visibility through Roles & permissions, not job title fields on HR records:
  • leave.approve_direct_reports: approve and view direct reports’ pending leave
  • leave.manage_org: org-wide leave admin and all pending requests
  • hr.view_records / hr.view_direct_reports: absence reporting (separate from the leave hub)
Senior roles such as CEO or duty manager only see manager views when explicitly given these permissions.

Bradford and absence settings

Absence reporting and trend views respect HR policy configured alongside leave. Coordinate leave settings with how managers record unplanned absence. See absence reporting.

Tips

  • Align leave year start with payroll and academic calendar if applicable.
  • Communicate entitlement changes by broadcast before changing balances mid-year.
