Overview
Ops cases help people teams follow up after sickness and related absence work. Each case has an owner, a status, and an activity history. Open Ops cases from the left navigation (/hr/ops-cases). The queue is a filterable table (case, person, details, status, owner, opened date). Use Active / Archive to switch between open work and completed or cancelled cases. Then filter by status, case type, and owner (all owners or mine). Detail tags show what the case is about, for example sickness date ranges, spell counts, long-term markers, or paid SSP weeks.
Managers also see their open ops cases (alongside due 1:1 check-ins and open performance reviews) in Your work queue on the People home (/hr). Each row opens this same ops case detail page. Completing or cancelling a case clears it from that list.
From a case detail page, open the person’s evidence pack for a printable due-diligence snapshot (ops cases, sickness, SSP, and key documents).
Case types
When staff log sickness on Leave, evidence is required (self-cert or fit note under 7 days; fit note for 7+). Ending sickness opens or updates a return to work case and notifies the owner.
Ownership
The line manager on the person’s HR record (reports to) is the canonical people manager for leave approval, return-to-work and SSP check-in case ownership, and performance review enrolment.
If a line manager changes, open return-to-work / SSP cases (and open performance reviews) can drift. People with Manage HR ops cases can open Ownership conflicts from the ops cases queue (
/hr/ops-cases/ownership), then Align to LM, or reassign a single case owner from the case detail page. The owner recorded when the case first opened is kept in case metadata for audit.
When spell count in the Bradford window reaches your absence review spell threshold (default 3), Campsite opens or refreshes an absence review ops case, notifies HR and the line manager, and links contributing sickness spells. Dropping below the threshold does not auto-cancel an open case.
When continuous sickness reaches your long-term sickness days threshold (default 28 calendar days), Campsite opens or refreshes the same absence review case (at most one open per person), marks it long-term, and lets HR/managers record occupational health referral date, outcome, notes, checklist, and OH document attachments. This is process tracking only, not clinical advice.
On an absence review case (and on the person’s Leave tab in their employee file), managers and HR can create a phased return or adjusted duties plan with start/end dates and weekly hours, daily hours, and/or allowed weekdays. A manager must acknowledge the draft to activate it. Active plans show a warning on rota when a shift would breach the plan; Campsite does not block the save or rewrite shifts. Completing or cancelling a plan stops the warnings.
When distinct paid SSP weeks in the Bradford window reach your SSP check-in paid weeks threshold (default 2), and/or approved annual leave days reach your holidays days threshold (default 10), depending on the org SSP check-in basis (paid weeks, holidays taken, or both), Campsite opens or refreshes an SSP check-in ops case, notifies the line manager and HR viewers, and stores week keys plus which basis fired. Use the SSP ledger to review weekly estimates and remaining weeks toward your organisation SSP max claim weeks (default 28 in Leave settings).
When the linked period reaches max SSP weeks, the SSP check-in path prompts SSP1 follow-up and ESA or Universal Credit guidance.
When sickness is reported after the notification deadline (default 7 calendar days from sickness start), SSP is withheld and the SSP check-in case is flagged as a notification chase until that follow-up is resolved.
Create a case
People with Manage HR ops cases can create a return-to-work or absence review case from the queue:- Open Ops cases.
- Choose New ops case.
- Pick the person and case type.
- Optionally add a short summary, then create.
Update a case
Case owners and HR ops managers can:- Change status (open, in progress, waiting on employee, waiting on manager, completed, cancelled)
- Add notes
- Reassign the case owner (when the case is still active)
- Issue a formal warning stage (absence review and SSP check-in)
- On absence review cases: save employee statement, manager notes, and outcome
- On SSP check-in cases: save manager notes and outcome, and review linked SSP weeks
- Review the activity timeline
Formal warnings
People managers and HR can issue an org-configured ladder (informal chat, written warning, final warning by default) from absence review, SSP check-in, or a performance review. Written and final stages require the person to acknowledge by a deadline. Overdue acknowledgements notify HR and the issuer. Open Formal warnings (/hr/formal-warnings) to acknowledge pending notices, review history, and (for HR) edit stage labels and deadline days. Warning history also appears on the person’s evidence pack.
Subjects with view-own permission can open their own case in read-only view.
