Overview
1:1 check-ins help managers and their direct reports stay aligned. Each session has a shared agenda, notes, action items, and sign-off. Managers can schedule sessions, run them in the workspace, reschedule a single meeting, or pause the whole check-in cadence with someone when needed. Open 1:1 check-ins from the left navigation (/one-on-ones).
Schedule a 1:1
Managers with permission to manage direct reports can schedule from the 1:1 hub:- Open 1:1 check-ins.
- Choose New 1:1 in the top right.
- In the panel that opens, pick the direct report, date and time, and an optional agenda template.
- Click Schedule 1:1 to open the session.
Run a session
Inside a session you can:- Edit the session title and work through check-in questions.
- Add shared notes (visible to both people) and private manager notes (visible to the manager and HR).
- Capture action items with assignees.
- Start meeting when you begin, then Mark complete when you finish.
- Save now flushes autosaved changes immediately.
Action items and tasks
Every action item you add to a 1:1 becomes a task for the person it is assigned to. Assigned action items appear in that person’s Tasks workspace, so follow-ups from a check-in show up alongside their other work. When the assignee has connected their Google or Microsoft account, these tasks also mirror into Google Tasks or Microsoft To Do, the same way tasks created in the Tasks workspace do. The link stays in sync automatically:- Editing an action item’s text updates the matching task.
- Ticking an action item off marks the task complete (and the reverse).
- Removing an action item, or cancelling the session, removes the mirrored task.
Reschedule this session
To move only the current meeting (not the whole cadence):- Open the session.
- In Scheduling, click Reschedule.
- Pick a new date and time and save.
Pause check-ins
Pause stops reminders and compliance nudges for a manager–report pair. Use this when someone is on extended leave or check-ins are not practical for a while. From a session or the hub Check-in cadence section:- Click Pause check-ins.
- Choose 1 month, 2 months, Custom (enter days), or Until further notice.
- Confirm.
- The hub shows a Paused badge on that person’s meetings.
- HR oversight lists the pair as Paused instead of overdue.
- Timed pauses resume automatically when the period ends. Until further notice stays paused until the manager clicks Resume check-ins.
Cancel this session
Cancel this session removes only the current scheduled meeting. It does not pause future check-ins. Use Pause check-ins when you want to stop the ongoing cadence.HR oversight
HR users with access to people records can review manager–report pairs at HR → 1:1 check-in oversight (/hr/one-on-ones). The table shows cadence, last completed session, next due date, and status including Paused, Overdue, Due soon, and On track.
